Five tasks that small businesses can automate

In a small business, many administrative tasks are carried out manually every day. A single operation may only take a few minutes. But when it is repeated regularly, it takes up a lot of time and increases the risk of forgetting or making mistakes.

Automation allows certain repetitive steps to be entrusted to digital tools. The aim is not to replace employees, but to simplify their work and give them more time for clients and the essential activities of the business.

Here are five concrete examples of tasks that can be automated. 


1. Automatically record requests

When a client fills out a form on the website, the information often needs to be copied manually into another software or sent by email.

Thanks to an automated process, the request can be recorded directly in the appropriate system. A file, a business opportunity, or a support request can then be created without further input.

The company thus keeps all important information in one place and reduces the risk of a request being forgotten.


2. Ensure follow-up on quotes

After sending a quote, it is important to follow up on the client's response. In the daily life of a small business, this follow-up can nevertheless be forgotten or done too late.

Automation can create a reminder for the responsible employee or send a follow-up message after a defined period.

3. Classify invoices and documents

Sensitive or unusual documents must, however, continue to be checked by a competent person.


4. Automatically inform clients

Clients want to know if their request, order, or document has been received.

Automatic notifications can confirm:

  • the receipt of a request;
  • the validation of an order;
  • the sending of a document;
  • a change in status;
  • an upcoming appointment or deadline.

These messages improve transparency and reduce follow-up requests. Important or individual communications are naturally still handled personally.


5. Forward tasks to the right person

A request often needs to be manually forwarded to the responsible department or collaborator. This can lead to delays, especially when responsibilities are not immediately clear.

Simple rules can automatically direct a task according to different criteria, for example:

  • the type of request;
  • the product or service concerned ;
  • the customer's language ;
  • the region ;
  • the priority level.

The responsible person receives the necessary information directly and can start processing more quickly.


Start with a simple process

It is not necessary to immediately automate the entire business. It is generally better to start with a clearly defined task that is repeated regularly.

Before implementing automation, it is important to ask yourself:

  1. Does this task always follow the same steps?
  2. Is it performed regularly?
  3. Does it require a lot of manual input?
  4. Does it frequently cause omissions or delays?
  5. Can the result be easily checked?

Automation must remain understandable and suited to the actual functioning of the business. Exceptions and important decisions should continue to be handled by employees.
