One software program instead of many: Manage business processes centrally

One software instead of several isolated solutions: how to simplify the management of your business

Many businesses use different software for each activity: one tool to manage customers, another to create quotes and invoices, spreadsheets for analysis, and other applications for projects, inventory, or customer service.

This organisation may seem flexible at first, but it often becomes difficult to manage over time. Information is scattered, some data needs to be entered multiple times, and employees waste time searching for the most recent version.

A centralised management solution allows these different processes to be brought together on one platform.

When the proliferation of software becomes a problem

Each software can be effective for a specific task. Difficulties mainly arise when the different solutions do not communicate with each other.

The most common consequences are as follows:

  • the same data is entered multiple times;
  • information is not always up to date;
  • searching for documents and emails takes time;
  • work processes are difficult to follow;
  • employees constantly switch from one program to another;
  • manual data transmission leads to errors.

For example, a client's details may be found in one software, the quote in another, and the invoice in a third application. It then becomes difficult to obtain a complete overview.

All important information in one place

An integrated management solution allows multiple business activities to be brought together on a common platform.

It can notably group together:

  • customer and sales management;
  • quotes and invoicing;
  • projects and tasks;
  • purchases and inventory;
  • customer service;
  • the website and the online shop;
  • documents and reports;
  • marketing and events.

All services work with the same information. When a piece of data is updated, the change is also available in the associated processes.

Reduce duplicate entries

One of the main advantages of centralised software is that it avoids manually transferring the same information at each step.

A customer request can, for example, become a quote. Once accepted, this quote can be used to create an order, then an invoice. All information remains linked to the same file.

This continuity helps save time and reduce errors regarding details, prices, or references.

Improve collaboration

When the relevant people use a common platform, they have a coherent view of the activities.

The sales team can check if an order is already being processed. The customer service can consult previous requests. The administration finds quotes, invoices, and contact details in a central location.

Internal communication thus becomes simpler and repeated information requests are reduced.

More transparent processes

A centralised solution not only allows for better organisation of information. It also provides a better basis for making decisions.

The company can more easily identify :

  • open quotes ;
  • tasks to be processed ;
  • the progress of projects ;
  • pending invoices ;
  • unresolved customer requests.

It is no longer necessary to manually gather information from multiple software and spreadsheets to obtain an overall view.

Gradually moving to a centralised solution

Not all services need to be migrated at the same time. A gradual implementation is often more suitable.

It is first necessary to identify :

  1. data entered multiple times ;
  2. information that is difficult to find ;
  3. breaks between different tools ;
  4. processes that regularly cause errors or delays ;
  5. activities that should be linked as a priority.

The new solution can then be implemented in a clearly defined initial area, and then gradually extended.

Choose the appropriate platform

A centralised management solution must correspond to the actual processes of the company. The aim is not to have the greatest number of features possible, but to effectively link the necessary activities.

Modular platforms such as Odoo, as well as other professional management and ERP solutions, allow for the gathering of multiple activities in the same environment and the gradual addition of new features.

ICL Micro supports companies in analysing their existing tools, connecting their processes, and implementing a centralised solution tailored to their needs.
